# Selling camps, courses and events

FacilitiesClub admins set them up; secretaries see who's booked and cancel places; club admins refund5 min read

A week of football in the summer holidays, six Saturdays of goalkeeping, a festival day: set it up once, put it on your booking page, and people book and pay for a place.

Events are part of the plan for three or more facilities. See [Pricing](/pricing/).

## Setting one up

1. Open **Events**, then press **Add an event**.

2. Give it a **Name** and say **What it is**: what happens, what to bring.

3. Choose **Where**, and if you like say **Who it’s for** (“Ages 7 to 12”) and who to contact. The contact’s name and email go in the confirmation people get.

4. Add its **Days**: a date, from and to, and how many **Places** that day. **Add a day** copies the last one to the next date, so a week of mornings is quick.

5. Set **What it costs**:

    -   **The whole event**, and how many places it has;
    - **A single day**, if people may book days on their own.

Leave a price blank if it isn’t sold that way. 0 is free.

6. Add any **Questions when booking**, such as a T-shirt size or “Can we take photos?”. On a medical question, tick **It’s about their health**: the booker is then asked to agree to you keeping their answer, and only your booking staff see it.

7. Choose **When it’s on sale**. To let your own players and guardians book first, tick **Your club’s players and guardians can book first** and say when **everyone else** can.

8. Press **Save**. It’s saved as a draft, which nobody else sees.

When it’s ready, open its menu and choose **Put on the booking page**.

## How people book

Your events show on your booking page under **Camps, courses and events**, each with its own page: what it is, the days, the price, and places left if you chose to show them.

They choose the whole event or the days they want, say who the place is for, answer your questions, and book. A free place is booked there and then. A paid one is held for a few minutes while they pay by card, and the money goes to your club’s own Stripe account. Either way they get an email confirming it, and you’ll see it in your notifications.

**Members first**: until everyone else can book, the page asks for an email address. If it belongs to one of your current players, or a guardian of one, we email them a link to book. The link works once, for 48 hours. Anyone else is told the same thing, so nobody can use it to find out who’s at your club.

## Who’s booked

Open the event’s menu and choose **Who’s booked**. You’ll see each place: who it’s for, who booked it, which days, their answers (health answers marked), and whether it’s paid. At the top is how many places each day has left.

## Cancelling and refunding

- **Cancel a place** from its menu, or tick several and choose **Cancel places**. The booker is emailed. If they paid, the place shows as **Owed back**.
- **Refund** a place that’s owed back from its menu, or tick several and choose **Refund**. The money goes back to the card they paid with, from your club’s Stripe account, and they’re emailed. Only club admins can refund.
- To **cancel the whole event**, open **Who’s booked** and, with nobody ticked, choose **Cancel the event**. It comes off your booking page for good, every place is cancelled, and everyone who booked is emailed.

If somebody’s payment arrives after their place stopped being held and the event filled in the meantime, the place is cancelled and shows as owed back. You’re emailed so you can refund them.
