# Putting training in the calendar

Team HubTeam managers and club admins5 min read

Set up a weekly session once, change a single week without disturbing the rest, and call one off so nobody turns up to an empty car park.

## A one-off session

On **Events → Calendar**, press **New session** (the button in the bottom corner) and leave it on **One session**. Choose the **Kind** — Training, a friendly, a meeting, something social or other — so your squad knows what they’re turning up to. Add a **Name** if you want one, the **Date**, when it **Starts** and **Finishes**, the **Venue**, and any **Notes**.

**Track attendance** says whether it counts towards your attendance report and each player’s record. It’s ticked for training and friendlies, and not for a meeting or a social, but you can change it either way. With it off, the session is still in everyone’s calendar and still asks who can make it.

**Ask who can make it** says whether players and guardians are asked to answer. It’s ticked for every kind of session. Turn it off for something where you don’t need replies, such as a committee meeting or a quiz night: the session stays in everyone’s calendar, but nobody is asked, it doesn’t show under **Not answered yet**, and its page says it doesn’t ask. The two are separate, so a social can ask who’s coming without counting towards attendance. If you turn it off after people have answered, their answers are kept, and they show again if you turn it back on.

Then press **Add session**.

**Venue** lists the club’s venues, and starts on your team’s home ground, so most training needs nothing choosing. Pick **To be confirmed** if you don’t know yet; players see “Venue to be confirmed” until you choose one. If the list is empty, a club admin adds the club’s venues in Facilities, under **Venues**.

Somewhere that isn’t one of the club’s grounds, like the pub for a social or a hall for a meeting? Pick **Somewhere else…** at the bottom of the list and type where it is. Players see it as you typed it, and **Open in Maps** searches for it. A session is at one of the club’s venues or somewhere you’ve typed, not both, and somewhere typed books no pitch.

**Pitch** appears under the venue when it’s one of the club’s own grounds. It’s optional. Choosing one books that pitch on the club’s calendar for the session, so nobody else can have it then, and a repeating session books it every week. If it’s already taken at that time you’re told which date, and nothing is saved. Change the venue and the pitch goes with it. A ground the club uses but doesn’t own, like a council rec, has no pitches to choose.

## A weekly pattern

**Events → Schedules** lists your repeating sessions, and only those. A one-off lives on the calendar.

1. On **Schedules**, press **New repeating session** (the button in the bottom corner). It starts on **Repeating**. From the calendar, press **New session** and choose **Repeating**.
2. Pick **Which days**, the **First week** and **Until**, **How often** (every week, or every 2, 3 or 4 weeks), the times it **Starts** and **Finishes**, and the **Venue**.
3. Press **Add sessions**. Every session in the schedule is created as a real entry, so you can change any one of them later without unpicking the rest.

A schedule needs an end date. Pick the end of the season if you’re not sure — it’s easier to extend than to explain to a parent why training is in the calendar until 2031.

## Changing one week

Open that session and press **Edit**. Because it’s part of a repeating schedule, you’re asked **Change which?** Choose **Just** that day. “Just this week we start at 7” is an ordinary edit and doesn’t touch the rest.

Choose **This one and every one after it** to change the times from that date onwards. Sessions before it keep their times, so what people were actually asked to attend stays on record.

To change the whole schedule, open it and press the button in the bottom corner, then **Edit every session to come**. It changes every session from the next one onwards, the same as choosing **This one and every one after it** on the next session. Sessions that have already happened keep their times.

## What happens when you move one

If you change the date, the time or the venue (or the place you typed), **everyone’s answers for it are cleared**, and the squad is told it has moved and asked to answer again. You’re warned before you save. Somebody who said yes to Tuesday at six hasn’t said yes to Thursday at eight, and quietly keeping their answer would put them down for a session they never agreed to.

Changing the name or a note doesn’t clear anything, and nobody is messaged about it. Nor does giving a venue, or typing a place, for a session that was **To be confirmed**: nobody had answered about a place, so their answers still stand. Choosing a pitch for a session that had none, or dropping it, keeps them too; swapping one pitch for another clears them.

## Calling one off

Open the session and press **Call it off**. For a repeating session, choose just that day or that one and every one after it. You can give a reason. The squad is told it’s off, with your reason, and the session stays in the calendar as off — so somebody looking at their week sees that it’s off, rather than finding a hole where it used to be. A session that’s off no longer shows who can make it, since nobody is going. The answers are kept.

Called one off by mistake, or the pitch dried out? Open it and press **Put it back on**, in the box saying it’s off. The squad is told it’s back on, and answers people already gave still stand. If you gave the pitch back when you called it off, it stays given back: book it again if you still need it. A session that has already happened can’t be put back on.

To stop a whole schedule, open it, press the button in the bottom corner, then **End this schedule**. It calls off every session still to come and keeps the ones that have already happened.
