# Finding out who can play

Team HubEveryone5 min read

Ask the squad, chase the ones who haven't answered, and see the whole picture in one list instead of a group chat.

## Where people answer

Players, and guardians acting for them, say whether they can make a match or a session in the **Player Hub**. Where a player has a guardian recorded, it’s the guardian who answers and is contacted.

That’s worth knowing: an adult player with nobody recorded is contacted directly. It follows who’s _recorded_ as acting for whom, not anybody’s age.

## Reading the answers

On **Matches → Fixtures**, open a match that hasn’t been played yet, press **Get set** and choose **Who can play**. For a session, open it from **Events** and look under **Who can make it**.

Each person is **Yes**, **Maybe** or **No**, or hasn’t answered. The top of the list counts how many are available, maybe and out.

**Not answered** is the useful one. It’s the list to chase, and it’s deliberately not counted as a no.

A small **+** beside a name means they’re injured today. You can still ask them: if they say yes, they’re asked whether they’ve recovered, and saying so clears the **+**.

A player **suspended** for the match shows only **Suspended**, with how many matches are left, instead of Yes, Maybe and No. If you know the suspension doesn’t apply to this game, press **Ask them anyway**: you’re warned what playing a suspended player can mean, and then their answers come back for this match.

A small **yellow card** beside a name means they’re one booking from a ban: one more caution in this competition before its cut-off date suspends them. On a computer, point at it to see how many cautions they have and the date.

## Chasing

For a match or a session, press **Ask the … who haven’t answered**. It only goes to people who haven’t answered (and, for a match, never to anyone suspended for it, unless you chose **Ask them anyway**), rather than messaging everybody — people stop reading a sender who contacts them about things they’ve already dealt with. You can press it again later: it asks them again in the app, but doesn’t email anybody twice about the same game or session.

The message comes from your team, by name: _Riverside FC Under 12s would like to know whether you can make Training on Tuesday 11 November at 18:00._

When everybody has answered, the button says **Everyone has answered**. Once a session has started, the button goes.

## Asking automatically

We can ask your squad for you. In **Configure → Settings**, under **Asking who can make it**, choose how many days before each game, each training session and every other session they’re asked: 1, 2, 3, 5, 7 or 14 days. Then choose the time under **Ask at**, from 06:00 to 21:00; it’s one time for all three, and it’s 09:00 until you change it. It goes to the same people the button would ask, and nobody is emailed twice however they were asked. Leave one on **Don’t ask automatically** and you ask by hand.

It isn’t sent for a session set not to ask who can make it, or for anything called off. If a game or session moves after the squad was asked, they’re told it moved, and aren’t asked a second time.

New teams are asked about this when they first choose what the team uses.

## Messages with an answer

A player, or their guardian, can send a message with their answer, like _Away with school, back for Saturday_. It shows under their name, and the team’s manager and coaches are told in their notifications, which open the game’s or session’s list.

Press **Reply** beside a message to answer it. Before you send anything, it tells you who the reply goes to: the player’s guardians, or the player if they have none, and the team’s other manager and coaches. Your reply goes to a group for that player, with the game and their message quoted at the top, and **Open** takes you to it. Every reply about that player goes into the same group all season. The club’s welfare officer can see it, as with every group. A secretary can see the messages but can’t reply.

## Answering for somebody

If somebody tells you at training, press **Yes**, **Maybe** or **No** beside their name yourself, and **Add note** if it helps. It’s stored the same way — the point is the list being right, not who typed it.

## If a session moves

If its date or time changes, the answers are cleared and the squad is told to answer again — see **putting training in the calendar**. Somebody who could make Tuesday hasn’t agreed to Thursday.
