Looking after team messages

Club HubWelfare Officers, and club admins3 min read

Every team has one conversation, where its coaches post and players’ guardians reply. Your Welfare Officer, and your admins, look after them from Messages in the Club Hub, on **Conversations**.

Making somebody your Welfare Officer

In People, on the Staff & access tab, give them the Welfare Officer role. They can then read the club and every team’s messages, and they’re the ones told when somebody reports a post. They can’t post, and they can’t change anything else about the club.

If your club has no Welfare Officer on LEKKIN, reports go to the club’s admins.

Seeing what needs you

Open Messages (in More on a phone). Conversations is one list of everything you can open at the club, like a messaging app: every team’s messages, each match’s Lineup chat while it’s open, and your own groups and direct messages. Each says what it is under its name, the latest is first, and you can search it. Teams with a reported post are listed above the rest, in a highlighted Reported box with how many are waiting.

Open one and it shows beside the list on a computer, or on its own screen on a phone (Back returns to the list). You read everything in it, including what hidden posts said and why they were hidden. A team’s managers and coaches, and the club’s admins and team management, are in its messages and can post: press Write a message in the button in the bottom corner. The Welfare Officer reads but doesn’t post. Who’s in it, beside the messages on a wide screen or a tap away otherwise, lists the staff, who reads for each player, and any youth player the messages don’t reach because no guardian is recorded.

A lineup chat closes two weeks after its match, or sooner if the team’s staff lock it, and then leaves the list. The team’s staff can reopen it from the match.

Each time you open a team’s messages, it is recorded, because oversight has to be accountable too. Nobody in the team is told.

A reported post

A post somebody reported has an amber edge, so it stands out however you open the conversation, and under it each report says why, who reported it and when (or No reason given). The alert you were sent opens the conversation on that post. Only you, and anyone else who looks after the messages, can see reports: nobody in the team is told a post was reported, or by whom. Read it, then hide it or leave it.

Hiding a post

Tap Hide under it and say why. People in the team then see that something was hidden, not what it said. You, and anyone else who looks after the messages, can still read it. A hidden post can’t be unhidden, and the reason is kept.

Exporting a conversation

Tap Export transcript to download the whole conversation as a text file: every post and reply, what was hidden and why, and every report. Use it for a referral to your county FA or the authorities.

How long messages are kept

Two years from when they were written. Where anything in a thread was reported or hidden, six years, because a concern can come to light late.
