Sharing documents with players
Documents puts your club’s PDFs in every player’s and guardian’s Player Hub. Mark one “must read” and you can see who has opened it.
Adding one
Open Configure, then the Documents & consent tab, and choose Add a document from the button in the bottom corner.
- Choose a PDF, up to 10MB. PDFs open on any phone, and most programs, Word included, can save a document as one.
- Title. It’s filled in from the file’s name. Change it to whatever players should see, like Club handbook 2026/27.
- Players must read this. Tick it for anything everybody should open, like a safeguarding policy. It shows as Please read in their Player Hub until it’s been opened, and you can see who has.
- Who is it for? Everyone at the club, or Only the players of some teams, then tick the teams, like a tournament pack for your Under 12s. Only those squads’ players and their guardians see it, and Opened by counts only them.
Who can see them
Every current player at your club and their guardians see your documents in their Player Hub, under Documents. Your club’s admins see them here. Nobody else can open them: there’s no public link, and every time somebody opens one it’s through a link that only works for a few minutes.
Who has read it
On a must-read document, press Opened by … of … players to see who hasn’t opened it yet, and when everybody else did. For every document at once, open Reports, then Documents: must-reads first, who hasn’t opened each one, by team, with a spreadsheet to download. Still to open or Everybody at the top chooses who’s listed (Everybody shows when each person opened it), and Include … who can’t be asked adds the players with no email address and no guardian. Tap a player to open their page.
- A guardian opening it counts for their player. A parent with two children at your club opens it once, and it counts for both.
- Opened isn’t agreed. It shows the file was opened, not that it was read or accepted. If people need to agree to something, add a consent question instead: that records exactly what they agreed to, and when.
- Nobody is stopped from playing because they haven’t opened a document. It’s your list to chase.
Changing one
Press Change to rename it, turn “must read” on or off, change who it’s for, or upload a new file.
A new file means everybody is asked to read it again. Who opened the old one is kept on record, but it no longer counts. The page tells you before you save. Changing only the title doesn’t ask anybody again.
Removing one
Press Remove. Players and guardians won’t see it any more. The record of who opened it is kept.
Good to know
- A club can have up to 30 documents.
- View opens the file for you without counting you as a reader.
