Using the bookings calendar
One calendar for all your facilities: see the day at a glance, book a free time with a click, and open any booking to change it.
Day and week
Open Calendar from the menu.
- Day shows every facility side by side, one column each, with the times down the side. With a lot of facilities, scroll sideways; the names and times stay in view.
- Week shows one facility across seven days. Choose the facility from Facility.
- On a phone you see one facility and one day at a time. Use the arrows, or swipe, to move a day.
Today comes back to today, and Go to date jumps to any date. A red line marks the time now.
What you’ll see
- Bookings, each named after what it is: the match, the team’s training, or the hirer.
- Requests still waiting for an answer, marked Requested. They don’t hold the time.
- Closed time shaded: outside the opening hours, closures, and days out of season.
- Kept for the club on hours you don’t offer to people booking online, or Released for hire on a day you’ve let them go (see Hours kept for the club).
- If a day is closed (a closure, or out of season) and you book it for the club anyway, the booking form says so before you save. Your own matches and training are never refused for it.
- The cost centre that pays, on each of your own bookings.
- Facilities booked together by an automation show as taken, named after the booking that holds them, for the hours the automation takes.
Booking a free time
Click (or tap) an empty time. The booking form opens on the free slot under it, or an hour from the half hour. On a desktop you can drag down the calendar to choose the length. On a flexible facility it starts with the shortest length free at that time.
Changing a booking
Click a booking to open it. From there you can move it, change its price while it’s unpaid, cancel it, message the person it’s for, or take payment. You can do the same from Bookings: open a booking that hasn’t happened yet and press Edit booking.
