Your bookings in your own calendar
See who has the pitch, the hall or the bar in the calendar you already use, without opening Facilities. Add it once and it keeps itself up to date.
Choose what to add
On Calendar, press the button in the bottom corner, then Add to your calendar. You can add:
- Every venue, all your facilities in one calendar. This is offered once your club has more than one venue: with one, it would be the same as that venue’s calendar.
- A venue, every facility at that ground.
- A facility, one pitch, court or room. Handy for a groundsman who looks after one pitch, or a bar that only needs the function room.
Each one is its own calendar, so you can add several and give each its own colour. In a venue’s calendar each booking says which facility it’s on, and in the every-venue calendar which venue too.
Press Add beside the one you want, then Get my calendar link, and choose where it goes:
- Google Calendar opens Google Calendar with the link filled in. Press Add calendar. Do this on a computer: on a phone, Google’s app can say the calendar was added when it wasn’t. On a phone, press Copy link instead, then in your phone’s browser go to calendar.google.com, choose Desktop site from the browser menu, and add it under Settings, Add calendar, From URL.
- Apple Calendar or Outlook is for an iPhone, iPad or Mac, or Outlook on a computer. It opens your calendar app and asks whether to subscribe.
- Outlook.com or Microsoft 365 opens Outlook on the web with the link filled in.
- Copy link copies it, for any other calendar app that can subscribe to a calendar by its address.
What’s in it
Every confirmed booking, from three months ago to a year ahead: hires, your own teams’ matches and training, and every week of a block booking. Each one shows what it is (the match, the team, the booking’s title, or the name of whoever booked it), where it is with a map link, and a link back to that day on the calendar in Facilities.
Requests aren’t in it until you confirm them, and a booking that’s cancelled, or isn’t paid for in time, comes out.
It never holds anybody’s email address or phone number, or the notes on a booking.
It keeps itself up to date. New bookings and moved times appear by themselves. Your calendar app decides how often it checks: Apple Calendar about every hour, Outlook every few hours, and Google up to once a day. So a booking made or moved on the day can arrive late: check Facilities before you open up.
Keep the link to yourself
The link is private: anybody who has it can see your bookings and who made them. We show it only once, when you make it. It’s yours, not the club’s: anybody else who looks after the bookings adds their own.
- New link stops the old one and makes a new one. Any calendar using the old link goes empty, so add the new one there.
- Stop sharing stops the link. Any calendar using it goes empty.
Your Account lists every calendar link you’ve made, with when a calendar app last checked it. Press Stop beside one to stop it.
If you stop looking after the club’s bookings, your calendars go empty by themselves.
When somebody leaves
Club admins see every calendar link made at the club under Links made at this club, at the bottom of Add to your calendar, with who made each one. Press Stop beside one and any calendar using it goes empty. Taking away somebody’s role at the club does the same to all of theirs.
